Terms & Conditions

1. Introduction

Welcome to JobMate Admin (“we”, “our”, or “us”). By using our website or engaging our services, you (“the Client”) agree to the following Terms and Conditions. Please read them carefully as they set out both parties’ rights and responsibilities.

2. Scope of Services

JobMate Admin provides remote administrative, quoting, and bookkeeping support to tradies and small-to-medium businesses across New Zealand.

  • The exact services provided will depend on your chosen package or written proposal.

  • Any work outside the agreed scope will require written confirmation and may incur additional charges.

  • All services are delivered remotely unless otherwise agreed in writing.

3. Service Agreement

Engagement begins once JobMate Admin confirms your service plan and receives acceptance — either in writing or by payment of your first invoice.
Unless otherwise agreed, services are billed monthly in advance.

4. Payment Terms

  • All invoices are due within 7 days of the invoice date unless otherwise stated in writing.

  • Payment is to be made via bank transfer or another approved payment method listed on the invoice.

Late Payment Policy:

  • If payment is not received by the due date, a 5% interest charge per month will apply to the overdue balance.

  • Interest will accrue for up to three (3) months.

  • If payment remains outstanding after 3 months, the account will be referred to a debt collection agency, and you will be responsible for any additional recovery and legal costs.

  • JobMate Admin reserves the right to suspend or cease services until payment is received in full.

5. Cancellations & Termination

  • Either party may terminate services with 14 days’ written notice.

  • All work completed and costs incurred up to the termination date will remain payable.

  • Prepaid services are non-refundable unless otherwise agreed in writing.

6. Confidentiality

We take confidentiality seriously. All client information, financial records, and business data shared with JobMate Admin will remain strictly confidential and will not be disclosed to third parties without your consent, except where required by law.

7. Data & Software Access

To perform our services efficiently, you agree to:

  • Provide timely access to required systems (e.g. Xero, ServiceM8, Hubdoc, etc.)

  • Ensure the information provided is accurate and complete

  • Cover any third-party subscription costs unless otherwise stated in writing

JobMate Admin is not responsible for delays or issues caused by incomplete or incorrect information provided by you.

8. Disclaimer & Limitation of Advice

JobMate Admin provides administrative and bookkeeping support services only.
We are not a Chartered Accountant or legal advisor, and our services should not be relied upon as professional accounting, taxation, or legal advice.
You are encouraged to seek independent financial or legal advice where necessary.

9. Liability

While every effort is made to ensure accuracy and reliability, JobMate Admin will not be liable for:

  • Errors or omissions resulting from inaccurate information provided by you or third parties

  • Any consequential or indirect losses (e.g. loss of income, business interruption, or data)

Our total liability, if any, is limited to the total amount paid for the service in the month the issue occurred.

10. Intellectual Property

All templates, systems, and documentation created by JobMate Admin remain our intellectual property unless expressly transferred in writing.
You may use these materials internally for your business purposes but may not copy, resell, or redistribute them without written permission.

11. Governing Law

These Terms and Conditions are governed by the laws of New Zealand.
Any disputes will be handled under the exclusive jurisdiction of the New Zealand courts.

12. Amendments

We may update these Terms and Conditions from time to time. The latest version will always be available on our website.
Continued use of our services means you accept any updated terms.
